Job Summary: We are seeking a highly organized and strategic individual to join our team as a Senior Administrative Assistant, supporting the Client Service/Market Relations (CSMR) team. This dynamic role demands strong collaboration skills, professional experience, and a balanced approach to prioritizing tasks. The Senior Administrative Assistant will closely support the Manager for CSMR and their staff, handling essential tasks like expense reporting, calendar management, and travel coordination. A highly organized and efficient candidate is crucial for success in this position.
 

Key Responsibilities:

  • Manage calendars, coordinate travel, prepare meetings, and handle follow-up tasks.
  • Work closely with senior executives and teams, ensuring discretion and responsiveness.
  • Maintain and update calendars with careful prioritization of meetings, travel, materials, and logistics.
  • Reserve meeting locations, confirm tech needs, arrange travel, catering, and security, as required.
  • Process expense reports with the necessary approvals.
  • Develop and maintain external manager meeting schedules, ensuring timely preparation of required materials.
  • Collaborate with investment teams to ensure materials are submitted on time and in the correct format.
  • Take detailed meeting minutes and ensure they are organized and filed properly.
  • Build and maintain effective relationships across various levels of the organization.
  • Actively contribute to a positive, collaborative, and responsive team environment.
  • Manage memberships, subscriptions, and sponsorships for the CSMR department.
  • Conduct research and handle ad hoc administrative tasks, including editing and drafting communications.
